Terms of service
Provisional version of 20 October 2026. It may be updated before the launch.
These terms apply to the subscription to the Synkora CRM on the shared platform, at app.synkora.tech, on the Essential and Business plans. The Enterprise plan and the «Website + CRM made to measure» packages have their own contract, which prevails over these terms where it differs.
The service is for businesses and professionals (B2B) in Portugal, the rest of the European Union and the United Kingdom. By creating an account, you confirm that you create it on behalf of a business or for your professional activity and that you can bind that business to these terms.
1. Who we are
The service is provided by [legal name of the company], tax number [NIF], registered office at [address], Portugal ("we"). Contact: hello@synkora.tech.
2. The service
Synkora is a CRM for small and medium businesses: customers, orders, conversations, automations and the modules each plan includes. Each business works in its own workspace, with its data kept apart from other businesses.
The service changes over time: we add features and may change or remove others. If we remove an important feature from a paid plan, we give at least 30 days' notice by email. Anything marked «Coming soon» is not yet part of the service.
3. Account and access
- Accurate details. You give us a true name, email and billing details, and keep them up to date.
- One account per person. Each person on the team signs in with their own account. Do not share accounts or passwords.
- Two-factor authentication is mandatory. The workspace holds personal data about your customers. So everyone signs in with their password (or Google account) and a code from an authenticator app. When they turn it on, each person gets 10 recovery codes, which they must keep somewhere safe.
- Recovery through support. Anyone who loses both the app and the codes asks for a reset under «I lost access». We only reset after confirming that the account belongs to that person, through the account email and a proof of ownership (for example, the details of a recent invoice). The reset only takes effect 24 hours later, with an email to the person and to the other owners. We never ask for the full card number or for identity documents by email.
- Security. You are responsible for what is done with your team's credentials and tell us as soon as you suspect unauthorised access.
4. Acceptable use
You may not use the service to:
- send spam or messages the recipient did not ask for, against the GDPR, electronic communications law or the platforms' rules (WhatsApp, Instagram, Messenger);
- store or process personal data without a legal basis, or special categories of data without the safeguards the law requires;
- sell or advertise illegal products or services, or content that infringes the rights of others;
- try to access other businesses' data, get around plan or security limits, or overload the service on purpose;
- resell the service or give access to third parties outside your business without a written agreement.
If the service is used against these terms, we may limit or suspend the account. Where possible, we warn you first and give you time to put it right.
5. Free trial
- Each person's first workspace has 14 free days, with no card. Every extra workspace has its own plan from the start.
- If the trial ends without a plan, the workspace becomes read-only. It is deleted 60 days after the end, and we email you before that.
6. Plans, prices and payment
The prices and limits of each plan are those published on the website and in the workspace at the time of subscription or renewal. Prices are in euros and exclude VAT.
- Monthly. No minimum term. You can cancel at any time in the workspace; the plan ends at the end of the month already paid, with no refund for that month.
- Annual, paid monthly. The monthly price with a 10% discount, billed every month, with a 12-month commitment.
- Annual, paid upfront. 12 months for the price of 10, paid at the start of the year.
- Renewal. Annual plans renew on their own for new 12-month periods. We send an email 30 and 7 days before each renewal, with the date and the amount. You can choose «Do not renew» or «Switch to monthly at renewal» until the last day of the period, in the workspace or by email; until then you can undo the choice.
- Leaving early. On the annual plan paid monthly, ending before the 12 months are over means paying the remaining months at once. The workspace shows the amount before you confirm. On the annual plan paid upfront, the paid year is not refunded and the service continues until the end of the period.
- Plan changes. Moving to a bigger plan, or adding people, takes effect at once and you pay the difference for the time left. Moving to a smaller plan, or changing how you pay, only takes effect at renewal.
- Payment. Invoices are due on the date they are issued and are paid through Stripe, by card or direct debit. We never see or store card details.
- VAT. In Portugal, VAT is added at the legal rate. In another EU Member State, with a VAT number valid in VIES, the invoice is issued without Portuguese VAT, under the reverse charge. In the United Kingdom, the service is not subject to Portuguese VAT and the customer handles UK VAT.
- Price changes. We give at least 30 days' notice by email. The new price only applies from the next renewal (on the monthly plan, from the month after the notice).
7. Late payment
The periods count from the day the payment failed. The steps are automatic, except closure.
- Day 0. Stripe tries the payment again over the following days and we email the account owner with a link to pay.
- Days 3 and 7. Email reminders. The whole team sees the «Payment overdue» notice.
- Day 14. The workspace becomes read-only: data can be viewed and exported, but not changed. Forms and automations stop.
- Day 30. Suspension: only the account owner can sign in, to pay or to export the data. The data is kept.
- After day 90. We send a final notice and may close the account and end the contract. We decide case by case, never automatically. Until closure, export remains available.
Once the amount due is paid, at any of these steps, everything works again at once. On an annual commitment, a delay of more than 30 days makes the amount left until the end of the commitment due at once.
Late amounts bear late-payment interest at the rate for commercial transactions, under Decree-Law no. 62/2013, which transposes Directive 2011/7/EU, and we are entitled to a fixed compensation of €40 per late invoice, plus reasonable recovery costs above that amount. For customers in the United Kingdom, these conditions apply as agreed between the parties, or those of the Late Payment of Commercial Debts (Interest) Act 1998 where it applies.
8. File storage
- Each plan includes storage for files (photos, PDFs and documents), and you can buy extra storage packs in the workspace. Adding packs takes effect at once and you pay the difference for the time left; removing packs only takes effect at the end of the period already paid.
- The database space is the plan's and cannot be bought separately. Our backups and the archive do not count towards your storage.
- If files take up more than the space available (for example, after removing packs or moving to a smaller plan), no file is deleted: they all stay visible and can be downloaded, but you cannot upload new files until they fit again or you buy more storage.
9. Availability and support
On the Essential and Business plans, we make reasonable efforts to keep the service available, with no availability guarantee and no service credits. An availability commitment (SLA) only exists on the Enterprise plan, by contract.
Incidents and maintenance are published on the status page, at status.synkora.tech. Support is by email, on working days.
10. Your data
- They are yours. The data your business keeps in the workspace belongs to your business. You can export it at any time, also while a payment is late and until the account is closed.
- GDPR. For your customers' personal data, your business is the controller and we are the processor, under a data processing agreement (Article 28 GDPR; for the United Kingdom, also the UK GDPR). We only process that data to provide the service and on your instructions.
- Where it is kept. The data is kept on servers in the European Union.
- Deletion. After the account is closed, we keep the data for 90 days, so it can be reopened, and then delete everything, except what the law requires us to keep (for example, invoices).
Your account and website data are handled as explained in the privacy policy.
11. Integrations and third-party services
The workspace connects to services from other companies, such as Google, Meta (WhatsApp, Instagram, Messenger), Stripe, invoicing providers and carriers. Each has its own terms and prices, which you accept directly with that provider. We are not responsible for the outages, changes or decisions of those services.
Use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We only use that data for the features your business connected, we do not sell it and we do not use it for advertising.
12. Intellectual property
Synkora, with its modules, templates and tools, is ours. During the subscription, your business has a non-exclusive, non-transferable licence to use it. Your content (text, images, data) remains yours.
13. Liability
Our liability is limited to the amount your business paid us in the 12 months before the event that gave rise to it. We are not liable for lost profits, loss of business or outages of third-party services. These limits do not apply to wilful misconduct or gross negligence, or to anything mandatory law requires.
14. End of the contract
You can end the subscription in the workspace, under section 6. We can end it with 30 days' notice by email, or sooner in cases of late payment (section 7) or use against these terms (section 4). Access to the workspace ends with the contract; the data follows section 10.
15. Changes to these terms
If we change these terms, we publish the new version here with its date. If the change is important, we email you at least 30 days before. If you do not agree, you can end the subscription before the change applies, with no early exit charge.
16. Governing law and courts
Portuguese law applies. Any dispute goes to the Portuguese courts, in the district of [district]. For customers in other EU Member States, this choice applies under Article 25 of Regulation (EU) No 1215/2012; for customers in the United Kingdom, under the 2005 Hague Convention on Choice of Court Agreements.
17. Contact
For any question about these terms, write to hello@synkora.tech.
The notices we send you go to the account owner's email.
